Must have previous exposure to duties and responsibilities essential for Office Operations and Functions. Manage day-to-day operations to ensure quality and standards are met for key leadership and department heads as well as all onsite team members. This individual should seamlessly drive and promote teamwork and quality service through daily communication and coordination with other departments (including management, human resources, IT Support, and Building Maintenance). Ensuring that all Credence employees and guests receive a superb experience while on the premises.
A successful Facilities Operations Manager will perform and provide oversight on various internal and external needs and actions such as:
- Facilities management and administration functions, such as scheduling/schedule coordination, meeting and conference planning, facility related logistics coordination, appropriate prioritization of competing demands, etc.
- Perform management and/or project support work, such as planning, research, analysis, correspondence control, communication, and/or special projects
- Understand and advise on the facilities’ rules, operations, and regulations according to the building management’s lease agreement or tenant manual.
- Communicate with employees, and other individuals to answer questions, disseminate or explain information, take orders, and address complaints.
- Ensure Office space is kept in top condition which may include scheduling maintenance with third party vendors, submitting service requests with building management, ensuring trash and recycling are put in the appropriate place to be picked up by the cleaning service, and any cleaning appliances (dishwashers) are being regularly run as needed.
- Manage office access, including Visitor and New employee check-in/checkout processes, ensuring the front reception desk is manned during normal business hours
- Supervise, coordinate, provides leadership to and review the work of assigned staff. Directly supervise individual contributors and/or entry level professionals such as receptionist or administrative coordinator.
- Monitoring office supplies and ordering new stationery, furniture, appliances, and electronics as required and ordering/restocking sundries and supplies
- Issues RFP's to contractors for equipment and systems maintenance. Explores and solicits alternative options for products and services to maintain high standards at Corporate office and opportunities to reduce budgetary expenses.
- Manage relationships with maintenance and vendor companies to keep the office clean and safe and ensure its appliances are in good working order
- Responsible for managing all ingoing and outgoing Credence mail and packages
- Answering main Credence telephone calls and general inquiry emails from customers and clients and directing them to relevant staff
- Assist with planning and management of DC area company events
- Coordinate facilities issues, submitting service tickets with building management/engineer’s offices
- Coordinate customer/partner visits to Credence offices with Project Teams
- Act as primary liaison with building management for communications, parking pass management, and building access management
- Managing Credence-branded item inventory, including ordering from the online employee store and tracking physical onsite inventory
- Coordinate with HR to administer event-related outreach to DC area employees
- Perform procurement, office supply orders, and other administrative functions and ensure the kitchen, pantry and supply cabinets are stocked appropriately
